The violation letter process follows these steps:

1. Monthly Inspections – Regular inspections occur once a month to identify any violations.
2. Ongoing Reporting – Violations can also be reported at any time by residents or board members.
3. Re-Inspection – Approximately one month after a violation is noted, a follow-up inspection is conducted.
4. Resolution Updates – If the violation is fixed, the account is updated, and no further action is taken.
5. Escalation if Unresolved – If the violation remains unaddressed, a series of notices are sent:
   • First Notice – Warning of potential fines.
   • Second Notice – Continued warning of fines.
   • Third Notice – Final warning before fines are imposed.
   • Fourth Notice – Formal notice of fines sent via Certified Mail.

To appeal a violation, contact DPM to submit your request. DPM will notify the board, which will review the appeal and determine whether a meeting is needed or if a decision will be made in writing.
